NSW Trustee and Guardian

NSW Trustee and Guardian (TAG) runs pop-up service locations that change every week, and staff were entering each one twice, in the CRM and on the website. Morpht connected the CRM, the customer booking portal, Google Maps, and Drupal, so locations now publish and expire automatically and residents can find and book the nearest one.

One entry, no double handling

The CRM is now the single place to manage locations, and the website stays accurate without manual updates.

  • Double data entry removed: locations entered once in Microsoft Dynamics CRM appear on the website automatically
  • Expired locations removed from the site automatically each day
  • Residents search by postcode, suburb, or current location, then get directions and book an appointment
  • The same data powers a Community Events section, filterable by event type

About NSW T&G

Drupal 10 | UX Design | Solution architecture | Systems integrations

NSW Trustee and Guardian protects the rights, dignity, preferences, and aspirations of people in NSW through wills, estate administration, trustee services, financial management, and guardianship. Its location finder and appointment booking are central to how residents reach its services.

Temporary location schedules were stored in Microsoft Dynamics CRM, while bookings happened on a separate Customer Services Portal. Weekly changes meant staff duplicated their work across systems.

The solution

Morpht built an integrated system that connects Microsoft Dynamics CRM, the Customer Services Portal, Google Maps, and Drupal, so location data is managed once and published automatically.

CRM feed

A data feed from Dynamics CRM creates a daily record in Drupal for each location and date. Expired records are removed automatically, and service details and contact information are added consistently.

A simple experience for residents

Customers search by postcode, suburb, or current location, and see results on an interactive map with directions and a booking link. The experience hides the complexity of the systems behind it.

We built the search as a React app, so suggestions and results appear instantly without page reloads. Google Maps provides directions to each location.

How we built it - React.js

When building the location finder solution, we elected to use React.js, which is ideal for single-page applications; (apps that can update content on a web page without refreshing the page). The autosuggest function and search result are lightning fast.

REACT is a suitable solution as it leverages off a component-based structure which is in keeping with modern day coding practises. These ‘reusable’ components mean the outcome will have a consistent look and feel and will load quicker, providing better on-site performance for site visitors.

Integrating with Google Maps

Integrating with third party services such as Google Maps API provides the opportunity to improve the user experience further. Here, using Google Maps allowed Morpht to include a simple ‘Get directions’ option for each of the locations.

Community events

Customer consultations at pop-up locations can also be considered as community engagement events, where customers can engage with the NSW Trustee and Guardian to learn more about their service and get support.

So why not surface the location data on the Community Events section of the site as well? And that we did. We extended the events view to support the location content type and installed facets to allow users to filter by event types.

Systems integration

We integrated data feeds from Microsoft Dynamics CRM, linked up locations to the Customer Service Portal for booking a service and augmented the location information with Google Maps for users to find their nearest service centre and get directions.

Previously our team spent a significant amount of time uploading pop-up locations on both Drupal and our CRM. However, the integration greatly improved our efficiency as our CRM became the only platform we had to manage. Drupal is now able to pick up all the information about the pop-up locations from our CRM and upload it to our website. The integration also allowed Drupal to recognise when our events expire and will automatically un-publish them, which ensures we have the most up-to-date information on our website.
